* Rehearsals for "With This Ring" Mon and Wed between 6/24-8/15 6-8:30pm Ballroom - PP Robb. Robb's 2 emails to them bounced. Robb will call them to discuss rate of 10 to 15/hour, booked into entrance or disco but use ballroom if available.

* Community Talent Showcase 7/20 Ballroom - Roberto - met with them last week. got changed from June 20-something to July 20th. 100 people. Discussed rates esp with selling alcohol. Roberto will convey issue/impact on omni in discussion with them. If they decide to sell alcohol, our rate will increase. Right now they are offering $200 plus split of profits which the WG decided is not enough if alcohol sales are involved.

I need to clear out the entrance hall for the event, if there is anything that belongs to anyone please remove, I'll most likely move anything that is there down to the basement. Also, would it be ok if I move the zine rack off to the side a bit? Since the event will be an exhibition we need to maximize the wall space. Lastly, this rental is an 8-day event, all from 6-10 except on 5/11 which is from 12-4, I'll try to be there most days, but if anyone can help me out with some days I would really appreciate it - let me know if anyone is available.

* The finance wg has discovered that GCEA's fiscal sponsor, Oakland Public Education Fund, has terminated their relationship for breach of contract. Also, they never authorized ALmaz to sign their lease, which is actually with the fiscal sponsor. so the GCEA lease is invalid. That has a variety of implications, but for this wg it means GCEA has to sign a contract for all events.
* Almaz says the Oakland Public Education fund was asking for too much money to be sponsored, GCEA have their own nonprofit status. Almaz will send EIN number to Laura, and Finance. They will sign a new lease.

* The finance wg has discovered that GCEA's fiscal sponsor, Oakland Public Education Fund, has terminated their relationship for breach of contract. Also, they never authorized ALmaz to sign their lease, which is actually with the fiscal sponsor. so the GCEA lease is invalid. That has a variety of implications, but for this wg it means GCEA has to sign a contract for all events.
* Almaz says the Oakland Public Education fund was asking for too much money to be sponsored, GCEA have their own nonprofit status. Almaz will send EIN number to Laura, and Finance. They will sign a new lease.

* Emerson Elementary Strike School request from parent, Liz: "strike might take place in February. Teachers are voting this week so we should know more on Friday. We have over 300 kids at our school but obviously it would be just a subset of those - perhaps a grade of kids, so somewhere between 20-40 kids? Ages range between 5-12 years old. Teachers and parents would be there with them all day. We would work with you to make sure the space would be safe and appropriate, which I don't anticipate being an issue." Do we want to do this?

Contract was then altered to state that all funds from the event would go toward GCEA back rent. Current proposal is to lock the classroom, shared w/ BAPS and others w/ prior approval, not pay rent moving forward, and apply Out the Blue event payment toward back rent.
* Insurance for Skin Project
** Suspension art event suspending people through piercings from the beams. Have done several shows already. Have property/liability, included Omni as additional insured, working on Waiver of Liability
** Should we ask if we have our bases covered?
** It's a tattoo shop that's providing the insurance. Maybe we could ask Mission Control about it?

** In order to be a point person for events, you must come to one meeting per month.
** If you miss two meetings, you can't be a point person for any new events until you come to another meeting.
** When a request comes in via email from the form. If you want to be the PP, email the working group by replying all to say you want it, or claim it in a meeting.
** If you want to attend a meeting remotely, it is up to you to set it up. It should be communicated ahead of time that you want to do this.
** You must specify a way to be contacted if there is a scheduling conflict or other urgent question. You must be responsive via this method within 48 hours.

3. How to indicate set up/clean up times on the public calendar so others can correctly schedule new events while making sure the actual event time is also clear on the calendar for potential attendees.

Determining whether set up/clean up time is needed
The point person has to specifically ask the renter about whether any set up or clean up time is needed. Based on experience, we know that there are some rentals that don’t really need either eg small committee or private meetings, some small rehearsals. However we know that most actual events will need some set up time to bring in their gear, find chairs and tables, arrange the room, sound and lights, put up signs, etc. And similarly we know that time is needed after the event to take out gear and trash, turn off or disconnect sound and lights, clean up after people and food, sweep, return the bathrooms to a clean and fully stocked state. The bigger and more complex (people, food, alcohol, live music, custom lighting etc) the event, the longer the set up/clean up times will be. The novice renter may not realize all of this, so it’s our job to clarify it in conversation and the contract and to invoice them for the entire time.

Indicating set up/clean up times on the calendar:
It is possible to put the Actual Event Time in the title of the event, but even if we do, the description has a date/time based on the whole time booked – so that would be very confusing to the public.

Or, we can set up separate events for set up and clean up but that is time consuming (basically you are setting up calendar events)

Or, booking people/point persons must always assume that an hour is needed between most events and that for bigger events, must check the contract for the set up and clean up times.

(Note that depending on how late the event ends, load-outs may be requested the following day, in order to ease potential noise concerns of our neighbors.

*Laura made a report on rental fee policy (partially pasted below). We discussed it but didn't come to to a conclusion about guidelines for what to charge. There are different levels of comfort with the fuzziness of the sliding scale.
**Within the Commons working group, I think we should be asking for the following minimum rates from non-charitable or wealthy non-profit groups holding basic events:

For the ballroom:
$500 per 5 hour rental, Monday through Thursday ($100/hour)
$1000 per 5 hour rental, Friday, Saturday, and Sunday ($200/hour)

Lease time includes setup and cleanup. If the event goes substantially over time a fee of $200 per hour should be billed.

For the other spaces
$40 per hour for rehearsals or meetings
$50 per hour for classes
$100 per hour for performances

When dealing with politically aligned groups with a low ability to pay, the point person should use their best judgement to decide on a price by balancing that with:
-the amount of work the event will be, and that you are wiling to do as the point person,
-the benefit to the community,
-the benefit to the Omni,
-how much they will bring in at the event.

If you have any doubts, consult the rest of the group.

We agreed that being able to discuss the rates in the meeting is helpful to make consistent decisions. This has broken down becasue we haven't been meeting very regularly. We did agree that if we are not going to book within the scale we should check with the group, either in person or by email with "NEED FEEDBACK" in the header.

1. Booking the public calendar appropriately so that groups aren’t overlapping because set up and clean up times were not indicated
2. Charging renters for all the time they are using the room, not just the event time.
3. How to indicate set up/clean up times on the public calendar so others can correctly schedule new events while making sure the actual event time is also clear on the calendar for potential attendees.

Determining whether set up/clean up time is needed
The point person has to specifically ask the renter about whether any set up or clean up time is needed. Based on experience, we know that there are some rentals that don’t really need either eg small committee or private meetings, some small rehearsals. However we know that most actual events will need some set up time to bring in their gear, find chairs and tables, arrange the room, sound and lights, put up signs, etc. And similarly we know that time is needed after the event to take out gear and trash, turn off or disconnect sound and lights, clean up after people and food, sweep, return the bathrooms to a clean and fully stocked state. The bigger and more complex (people, food, alcohol, live music, custom lighting etc) the event, the longer the set up/clean up times will be. The novice renter may not realize all of this, so it’s our job to clarify it in conversation and the contract and to invoice them for the entire time.

Indicating set up/clean up times on the calendar:
It is possible to put the Actual Event Time in the title of the event, but even if we do, the description has a date/time based on the whole time booked – so that would be very confusing to the public.

Or, we can set up separate events for set up and clean up but that is time consuming (basically you are setting up calendar events)

Or, booking people/point persons must always assume that an hour is needed between most events and that for bigger events, must check the contract for the set up and clean up times.

(Note that depending on how late the event ends, load-outs may be requested the following day, in order to ease potential noise concerns of our neighbors.

** otherwise assuming event organizers can deal with occasional early arrivals

*Laura made a report on rental fee policy (partially pasted below). We discussed it but didn't come to to a conclusion about guidelines for what to charge. There are different levels of comfort with the fuzziness of the sliding scale.
**Within the Commons working group, I think we should be asking for the following minimum rates from non-charitable or wealthy non-profit groups holding basic events:

For the ballroom:
$500 per 5 hour rental, Monday through Thursday ($100/hour)
$1000 per 5 hour rental, Friday, Saturday, and Sunday ($200/hour)

Lease time includes setup and cleanup. If the event goes substantially over time a fee of $200 per hour should be billed.

For the other spaces
$40 per hour for rehearsals or meetings
$50 per hour for classes
$100 per hour for performances

When dealing with politically aligned groups with a low ability to pay, the point person should use their best judgement to decide on a price by balancing that with:
-the amount of work the event will be, and that you are wiling to do as the point person,
-the benefit to the community,
-the benefit to the Omni,
-how much they will bring in at the event.

If you have any doubts, consult the rest of the group.

We agreed that being able to discuss the rates in the meeting is helpful to make consistent decisions. This has broken down becasue we haven't been meeting very regularly. We did agree that if we are not going to book within the scale we should check with the group, either in person or by email with "NEED FEEDBACK" in the header.
