Commons Working Group Meeting 5/30/15 Attendees: laura, yar, dk, michael
Simultaneous interpretation
- michael offers to provide equipment for simultaneous interpretation - radio transmitters and headphones
- anytime we want to use them for an event, just let him know when it is
- group holding the event needs to provide their own interpreters who are able to translate simultaneously
- should have a mention on the website that this equip is available and maybe a field on the request form - do you need simultaneous interpretation equipment?
SPAZ arrangements
- DK - Jim did occupancy calc for basement assembly area per building code. Came out to 348 standing.
- Per city of Oakland, events with 50+ people open to the public needs a special event permit. SO what is public? Fire, ABC and police can all come in to say if an event is public. see docs here: https://drive.google.com/folderview?id=0ByjR12L1MEjCfnBpTmg5b251WWF4Z2xZREU1NlI4U0hsZEFsdVp3Znl0bGtZTFM2eVc2OVU&usp=drive_web
- Will prob have to sell membership cards like Gilman to make private.
- Should be <50 people if not private
- Sprinkler issue for rooms sized for >49 people
- RE insurance: it's possible for insurance to agree to cover a recurring monthly event in line with our regular activities, (a social event, fundraiser) but will take time, like at least 3 weeks. None of the current activities listed include dance parties. Kelly, the insurance person will look into this.
- Could be probs with ventilation
- will have to fully staff event. need way more staff. it was trashed last time. bottles and cans all over the basement.
- how it's advertised is very important. if covered by our insurance it has to be a sudo/omni party at which SPAZ is a featured guest or something. but under their insurance then it's fine, but will be hard for them to get recurring event insurance, they may need one-offs. will be at least $100-150 per event for them.
- CCL is considering a party the same night (Friday June 5)
- selling alcohol makes an event AUTOMATICALLY public, no matter what else you're doing. they'd need a day license. 2 ways to get a day license: standard ABC 218 caterer's license. caterer has to fill that out. Or a 501c3 can pull an ABC 221 form. the nonprofit gets full liability and only ever gets 12 per year, i.e. if SPAZ becomes monthly then FNB can never have their own fundraiser. first time you pull a 221 you have to get OPD to sign it. possibly first few times. OPD might send someone to the party. has to be legit... also you have to sign something that says dancing is illegal after 1am.
- dk thinks they should just not have alcohol because it's just too much a headache.
- needs to always end at a specific time. can't wind down at 4:30 one time or 2:30 another time. needs to end promptly
