Attendees

  • Ryan Caldari, Jenny, Stephen, Helen, Margaretha, Robert, David K, Resham, Niki

Agenda

  • Ryan re: rollerskating rink in the ballroom!
    • $10 door, $5 for renting skates
    • Rose from Church of 8 Wheels has been advising, rents skates - Monday / Friday / Sunday
    • Sign an indemnification agreement of non-liability at the door
    • Looking into event insurance
    • Rose has been doing this for years, says no one has complained about damage to the floors
    • May want to have someone on the floor who can help with maintaining safety and helping folks
    • 50 people at $10 each = $500 per night
    • Concerns over building use change - would need to be billed as a one-time fundraiser
    • Would probably have to be an 18+ event
    • Ryan's going to find out more about insurance and email us, and reach out to the local roller derby teams
  • Consense on fees for for-profit groups:
    • disco room: $50/ hr, $150 for 1/2 day (4hrs), $300/full day
    • Ticket booth room: $25/hr, $75 /1/2 day, $150/ full day
    • Library: $25/hr, $75 /1/2 day, $150/ full day
    • Classroom off library: $10/hr
    • Basement: $45/ hr, $135 for 1/2 day (4hrs), $170/full day
    • Margaretha: Bottom-liners could be incentivized by paying them ~10% to coordinate for-profit events
    • Sarah: Need to remain affordable to remain attractive to the groups we're targetting
    • Stephen: We don't really have the resources to please people with money right now
    • Margaretha: Roles and responsibilities document
    • Robert: Those basement rooms need more work before they can be rented out
  • Kitchen working group
    • FNB wants to expand the kitchen
    • It would have to be enclosed
    • 4x6 walk-in cooler
    • Need an itemized budget submitted to Finances
    • David K is going to help Darin on the second FNB fundraiser, perhaps some of that money could go toward the kitchen buildout
    • First priority is to bring the kitchen up to fire & then health code
  • Backspace clinic day
    • Happening quarterly, fill the space with practitioners - Omni Wellness Day
    • Low- to no-cost workshops and classes
    • First one in late April
    • Wants to coordinate with BAPS to incorporate critical thinking
  • David has a friend who coordinates weddings!
    • Would have to limit loud activities in the rest of the building
  • Niki: In general we need to be more vigilent on sound issues and other conflicts between events in the space
  • David: Direct face-to-face conversation
    • Niki: If an event is charging a door fee, we should have a bottom limit for how much they pay
    • David: We should look at other places and see what they charge - Oakland Metro
  • Robert: Perhaps we could do an 'Adopt A Room' structure for groups to focus on particular rooms and spaces that need work
  • Event Rentals spreadsheet: https://docs.google.com/spreadsheets/d/1BXxNRMsfXNS93sUfToc_0iUwktK31EBUpnh6hVFwiVM/edit#gid=1736285254
