  • Invoice Training
    • Can use Finance Login - should the entire commons WG have access or just a core group?
    • Quickbooks online
    • Laura - can there be a commons log-in for everyone in commons?
    • We need to be careful though because we can fuck up the books. Commons will have lowest level of security.
    • Matt will make an account with an email and will send the info to the people at this meeting. Other people on the Commons List can be added if necessary.
    • Matt will make a PDF with the steps to login to Quickbooks and generate an invoice.
    • It is possible to correct an invoice if you send one and need to amend/delete it.
    • Laura: What do we do if people pay a deposit instead of just giving us a check to hold? Can finance generate a refund?
      • Matt: If it's a vendor we can give them a refund. If not, Matt can write a check to the renter.
  • Liz's flowchart of the process that someone needs to go through to book an event.
    • Calendar is still not syncing events.
    • Liz: Wants to make a listserv for people trained on the soundsystem that will be pinged when an event is approved that needs someone to operate the soundsystem.
      • Laura: Let's set up a listserv for people trained on the soundsystem and then PP can send an email out to them when they need someone there to operate.
      • Liz: Will make a listserv for the soundsystem group
  • Can we pay people to work at events?
    • Matt: Bookeepers say that it's OK to pay people (legally)
    • Julio: Do we pay people or does the event pay people?
    • Sadie: Check and see what the Lab does.
    • How does this work with the production collective?
    • Can we pay people in tips?
      • Jeremy: It's non-binding, so there's not guarantee
      • Julio: Can we do a sliding scale?
      • Laura: Let's make it specific and straightforward?
      • Liz: Historically, it's been $20/hr, except for Harborside, which paid $25/hr
  • Standardized payments
    • Sadie: Require an exemption request if people want to pay less than the base-line rate.
    • Robb: Can we tier - have brackets that spell out.
    • Laura: All point people should start by offering a specific range and then negotiate from there.
    • Julio: We need to set a specific minimum.
  • Sadie will ask Dena what platform the Lab uses and what kind of calendar they have.
  • Matt: Bookkeepers suggest that we hire someone to manage and organize events.
    • Laura, et al: The Omni isn't set up to support this kind of position
    • Julio: We don't need that person if we had a system that makes things easy for us.
  • Laura: Can we have a commons hack-a-thon?
    • Jeremy: Can that consist of the people in the Commons WG?
    • Laura: Let's schedule a few hours another time?
      • Sadie: Sent email to the commons Listserv. Work party scheduled at Laura's house either Friday November 20 or 27 in the afternoon.
